What a work order represents
A work order records a unit of maintenance work against a specific asset and location: what needed doing, who did it, when, and what happened. Over time, the work orders on an asset become its story — the single most valuable thing you can know when deciding whether to repair or replace.
The lifecycle at a glance
Most work moves through a predictable set of states. Not every job touches every state, but having a consistent flow means everyone knows where a job stands.

Request intake
Work orders start as requests — from a tenant, a technician, an inspection, or a preventive maintenance schedule. Capture enough to act: what, where, and how urgent. Tying the request to an asset at intake saves time at every later step.
Triage and priority
Review incoming requests, confirm the asset and location, and set a priority. Asset criticality and safety drive urgency: a failed exit door or a life-safety system jumps ahead of a cosmetic fix.
Assignment
Assign the work to the right person or vendor with the context they need — the asset, the location, the linked documents, and the history. A well-assigned work order rarely comes back with "where is this?" or "what model is it?"
In progress
Once work starts, the status reflects reality. Technicians update progress so supervisors and requesters can see where things stand without chasing anyone.
Notes, photos, and field updates
Field updates are where the operational memory is built. A clear note, a before/after photo, and an accurate status change are worth more than a tidy form filled in later from memory. Capture them at the asset, in the moment.
Waiting on vendor
When a job depends on an outside party — parts on order, a specialist scheduled — mark it Waiting on Vendor so it is clearly paused rather than stalled. This keeps your active queue honest and surfaces work that needs follow-up.
Warranty-related work
Before paying for a repair, check whether the asset is under warranty. Linking the work order to the asset surfaces its warranty status, and recording warranty work properly supports any claim you need to make later.
Completion and closeout
Completion means the work is done and documented; closeout means it has been reviewed and verified. Separating the two gives supervisors a checkpoint and ensures the record is trustworthy before it is archived.
Work order history
Closed work orders are not dead weight — they are the asset's track record. Recurring issues, rising costs, and patterns of failure all show up in history and inform your repair-vs-replace and capital-planning decisions.
Using work orders to improve asset data
Every work order is a chance to correct the register: fix a wrong serial number, confirm a location, note a part number, flag a replacement. Treat the field as the source of truth and let it flow back into your asset data.
