Why asset data matters

Your asset register is the backbone of facility operations. Maintenance is scheduled against it, work orders attach to it, warranties depend on it, reports summarize it, and any future digital twin is mapped to it. If the register is weak, everything built on it is weak.

Good asset management is about lifecycle value, data quality, criticality, and accountability — knowing what you have, how important it is, what condition it is in, and who is responsible for it.

Start with maintainable assets

Do not try to inventory every light switch on day one. Start with the assets you actually maintain: equipment that gets serviced, fails, carries a warranty, or matters to occupant comfort and safety. You can always go deeper later.

A focused register of 50 well-described maintainable assets is far more useful than 500 records with no detail.

Use consistent naming and IDs

Pick a naming convention and stick to it. Names should be predictable enough that two people describing the same unit produce the same record. Give each asset a stable ID you can put on a label or QR tag and reference from a work order.

  • Decide a naming pattern (e.g. System – Type – Location – Sequence)
  • Use the same abbreviations everywhere
  • Assign a unique, stable asset ID to each record
  • Avoid embedding data that changes (like a tenant name) in the ID

Build a practical asset hierarchy

Group assets so they roll up logically: building → location/space → system → asset → component. A hierarchy makes filtering, reporting, and PM assignment far easier, and it is how the operational record mirrors the physical building.

Capture location, system, and criticality

For each asset, record where it is, what system it belongs to, and how critical it is. Criticality drives priorities: it tells you which assets deserve preventive maintenance first and which failures need the fastest response.

Track manufacturer, model, serial number, and warranty

Manufacturer, model, and serial number connect an asset to its manuals, parts, recalls, and service history. Warranty dates protect budget — knowing a unit is still under warranty can change who pays for a repair. Capture these wherever you can read them off the nameplate.

Verify before you trust the register

Imported data is a draft until someone confirms it. Spot-check records against the real equipment, resolve duplicates, and fill the obvious gaps. A register people trust gets used; one they doubt gets ignored.

Treat any bulk-imported or AI-assisted data as a starting point to verify, not a finished record.

Use the Equipment Import Wizard

Keep the register alive through work orders

The register stays accurate when day-to-day work flows back into it. Every work order is a chance to correct a wrong serial number, confirm a location, or note a replacement. Asset data and work orders reinforce each other.

Common mistakes to avoid

The usual failure modes are predictable: inconsistent names, no criticality, missing nameplate data, duplicate records, and a register that nobody updates after go-live. Each one quietly erodes trust in the data.
